Advance Transit is seeking a dynamic, upbeat, and enthusiastic Administrative Assistant to join our team. As an Administrative Assistant, you will play a critical role in maintaining a positive, welcoming, and productive office environment. You will have the opportunity to interact with staff, passengers, and community members while performing a variety of administrative and specialized functions in support of each department.

Classification: FLSA - Full-time (40 hrs per week), Hourly $25 - $27, Non-Exempt
Overtime elegible: Possible Saturday coverage once or twice a month and is paid at time and a half, hours worked over 40 is paid at time and a half. 

 

Essential Functions

  • Assist with customer support activities, such as answering phone calls, responding to emails, and addressing customer inquiries or concerns.
  • Provide back-up to the current paratransit coordinator and coverage on days off.
  • Provide rotating Saturday coverage(paid at time and a half) with the current paratransit coordinator.
  • Respond to inquiries about fixed route service, schedules, and bus stop locations, as well as inquiries about paratransit services.
  • Perform various clerical duties, including filing, data entry, scanning, and photocopying.
  • Perform a variety of administrative and specialized functions in support of AT’s Departments - Paratransit, Operations, Human Resources, Marketing, Finance, and Maintenance.
  • Welcome visitors to AT’s office.
  • Assist in daily operations by taking notes during meetings and distributing agendas and minutes.
  • Coordinate and assist with event planning tasks.
  • Report all passenger complaints and scheduling problems to the manager.
  • Comply with federal, state, local regulations and internal operating and safety policies.
  • Perform other duties as required or assigned.

This position is classified as “safety sensitive” and as such is subject to Federal Transportation Authority (FTA) mandated drug and alcohol testing. This posting excludes marginal functions that are incidental to performing the job. Other duties may be assigned.

Requirements

  • Valid Driver’s License
  • Experience navigating a Windows operating environment
  • Proficiency in Microsoft Office workspace (Word, Excel, Outlook)
  • Digital literacy and research skills, including the ability to analyze the reliability of information
  • Data management and data entry skills, including the ability to maintain and improve filing systems
  • Working knowledge of office equipment, such as printers and fax machines
  • Willingness to learn and aptitude for learning new software and systems
  • Ability to work well independently and in collaboration with others
  • Strong verbal and written communication skills
  • Strong customer service and conflict management skills
  • Strong organization, with attention to detail
  • Excellent time management skills and the ability to multitask and prioritize work
  • Goal-oriented, with ability to meet deadlines
  • Ability to maintain confidentiality
  • Map reading skills, with ability to give provide driving directions
  • Basic mathematical skills (add subtract whole numbers, common fractions and decimals)
  • Ability to understand detailed documents, such as safety rules, operating and maintenance instructions, and procedural manuals
  • Prior office or administrative support experience preferred
